Property Inspections

Overview

PaTMa allows you to schedule property inspections, which become tasks on your Calendar.

Most landlords inspect properties every six months or so, but there is no requirement for you to do so.

Scheduling a Property Inspection

Select your tenant, then their tenancy, and open the Actions tab.

Click Add action and choose Property inspection.

The only thing you need to add is the date of the inspection - PaTMa will set the task up for you and add it to the calendar. It will also create a checklist to help you carry out the inspection.

Carrying Out a Property Inspection

PaTMa will provide a checklist of tasks after an inspection has been booked. Click the circle to the left of eacch one when completed:

  • Book inspection date with tenants - inform the tenants of the date you will inspect the property. Remember you must give them at least 24 hours notice!
  • Email tenants the current inventory - if your inspection includes an inventory review, you can use PaTMa to email tenants the current inventory so that they know what you're expecting to check.
  • Prepare inspection document - PaTMa can create a formal inspection report for you to take with you and work through. You don't need to be this formal if you prefer to keep things lighter, and some landlords choose to just have a walk around the property.
  • Upload completed inspection document - if you are using the formal inspection document, you can ask tenants to sign it and then upload it after the inspection is complete.
  • Create follow-up tasks - add any tasks that came up such as repairs needed.
  • Create rent adjustments - bill the tenant for something or give them a credit, if necessary.

When all items are checked off the list, the inspection is marked as complete in PaTMa. Followup tasks will remain open in your Task Manager until completed there.
