Arranging a Viewing
Overview
PaTMa allows you to manage potential tenants from the moment they first contact you. The integrated calendar makes it easy to plan your schedule and stay on top of appointments.
Setting up a Potential Tenant
Prospects and contacts are handled from the Tenant Overview. If this is your first contact with the prospect, start by clicking Add tenant to open the New Tenant screen.
You can add some information about the prospective tenant but the only required fields are first and last name.
- First name - add the tenant's first name.
- Last name - add the tenant's last name.
- Email - the tenant's email address.
- Phone1 - a phone number for the tenant (eg landline).
- Phone2 - a secondary phone number for the tenant (eg mobile).
- Address line 1 - the tenant's current address.
Adding a Viewing
If you just added the tenant, you will be directed to the Contact screen automatically. Otherwise, select the relevant tenant from the Tenant Overview and click the Contact tab, then click Viewing.
You'll only need to fill in a few fields:
- Viewing date - the date and time the viewing is scheduled for.
- Property - select the property for the viewing from the menu.
- Unit - if the property is an HMO or other multi-unit building.
- Shared with the tenant - any additional notes for the tenant to see, for example directions.
- Notes - notes for yourself only.
Click Add viewing to save the viewing.
Using the Calendar
All scheduled items are added to your Calendar, which you can access from the lefthand menu.
Hover the mouse over any item to see a tooltip with brief notes, or click for full info or editing.
